Creative Problem-Solving Techniques That Work
A critical question project manager should often ask themselves is ‘How practical is their problem-solving approach?" Or, "Should they adopt creative problem-solving techniques to prevent unforeseen problems?”   True, the business process affecting your employees and customers can be amorphous and messy. Complex problems can strike your organisational structure, lead to wrong decisions, hinder the project from progressing, and result in expensive mistakes. As its core, solving project-related problems may be daunting, but it doesn't have to be difficult as long as the right skills and techniques are followed throughout the project. All you need is the proper process to untangle the problems.   Today’s article talks about problem-solving skills, techniques & strategies. There are tried & tested techniques that have been used by successful entrepreneurs over the years. These problem-solving strategies are applicable at workplaces for untangling project complications.   A 4-Step approach to Problem-Solving in Business    Problem Solving technique involves four necessary methodical steps that can be used in a structured manner to solve the problem at the organisational level.   Defining the problem: This is the first step of problem-solving which begins with accepting or acknowledging the issue by evaluating all the signs. This step is followed by identifying the cause of the problem. Analysing what and how went wrong gives the manager a direction for their problem-solving approach.   Identifying options for solutions: Once the problem and its causes are identified, the possibilities for solutions are considered. If it's a team project, all members can brainstorm to get good ideas on different ways of solving the problem. Brainstorming helps team members to come up with great solutions that can help resolve issues.   Evaluating all the options: The third step is evaluating all the opportunities identified in the previous stage. All options should be considered with emphasis on the advantages and disadvantages of each approach. This step can be more straightforward if team members prioritise what exactly they want. Solution options can be chosen once you know how individual choices can be useful for project completion.   Implementing the solution: Once a solution is chosen, it’s time to implement it in the best possible manner. Be sure to communicate with team members and let them know what option has been chosen, and how you plan to implement it.   15 Problem-Solving Skill, Techniques & Strategies in Project Management       Strategies & Techniques for Problem Defining Phase (Step 1)   1. Stop Stressing over the Problem How many problems have you solved by being stressed out? We bet, none. Here's the golden rule of solving any problem at the workplace- Stop stressing no matter how tough the situation is. Why waste time and energy into wrecking your brain cells when you can channel the same energy into finding the solution? This is the most basic advice, and also, the most neglected one.   2. Stop being a Prejudiced Observer Don’t believe your favourite employee, and don't always trust your guts. Prejudiced observations can be devastating, not only for a certain project but sometimes for the company reputation and business too. Problems become complicated when project managers fail to explore the context of the situation with an unbiased sight. So, a good strategy would be to examine the context instead of believing your guts.   3. Get real about difficulty and scope Now, this might sound like a contradictory statement after we just told you to keep calm and avoid stressing. By getting real about problem difficulty, we mean that the project manager should never underestimate or overestimate the size of a business problem. A decent approach is to get a real analysis of the problem. Accept what went wrong and measure the size of the problem.   4. Fish-Bone Diagram Technique Fishbone diagram involves putting the effect on one side as a problem statement and putting the possible causes on the left side so that it's all grouped before creating a final category of causes. The final shape resembles the skeleton of a fish.   Strategies & Techniques for Identifying Options for Solutions (Step II)   1. Thinking from Different perspectives The different perspective technique offers an excellent way of tackling workplace problems. This technique urges the leaders to think through six different perspectives, namely, facts, feelings, control, creativity, positive, and negative. Wear each cap, one at a time, and think of the solution from all these perspectives, and you sure will come up with a great solution.   2. Questions are the best ‘Solutions Ever wondered why asking questions is the best approach to finding solutions? It’s because the more you ask questions, the more your brain plays out different scenarios and helps a person to broaden the decision-making process. The objective of ‘questioning’ approach is to observe the problem from different perspectives. Ask questions starting from Why, How, When, Where, Whom, and What. In simple words, consider anything and everything, and have a broad viewpoint before narrowing the situation.   3. Finding Solutions Without Knowing the Problem This is a strange, yet highly effective problem-solving method where individuals are not even aware of the nature of the problem. The leader begins by mentioning a general concept, and the group after that, responds with several ideas. This leads to concept development, followed by a related concept, and at last, the real problem is revealed, which enables the group to make suggestions.   4. Give it a Break Believe it or not, sometimes the best way to achieving something is to stop trying (now, by that we don't want you to believe that your efforts are of no use). Give it a break and stop moving the gears of your brain. Walk around, talk to friends, and loosen up your mind, because sooner or later you’re going to catch a moment when a great idea will hit your mind and astonish you. Just don’t forget to pen it down!   5. Access a beginner’s mind A beginner’s mind holds no preconceived ideas, and their brains are empty. Not only it is eager and open, but receptive too. So, when everything fails, seek a beginner’s mind.   Strategies & Techniques for Evaluating all Options (Step III)   1. Brainstorm with the Team Members Ten minds are better than one mind. That's true in almost all conditions. The best ways of finding a solution are to brainstorm as much as possible. Generate a great many ideas, one after another, and note everything. During the brainstorming session, make sure to create a friendly and non-judgemental environment for an efficient problem-solving strategy. Start the meeting with ‘How,' note every idea, and discuss those ideas with ‘What if,' ‘How to do.' ‘Where to,' and ‘I wish.' 2. Reverse Brainstorming This problem-solving tool adopts a reverse brainstorming technique. All team members sit around a round table and talk to each other while focusing on the negatives. All the members take a turn to criticize different options that can be opted as a solution. The technique is a way of fault-finding by analyzing various ways in which the idea could fail. This method proves excellent results in the end. 4. Brainwriting technique Here, instead of talking, the ideas are written on a special card which is circulated among the group. Here the views are expressed more spontaneously because a moderator or leader monitors the time intervals for each participant to write their ideas down. Saponaceousness allows the team members to focus on the issue, and become more attentive to their minds.   5. Use What’s around This is one of the creative techniques used in problem-solving. It involves asking people ways to get from point A to B. Chances are that all answers are going to be radically different or almost different. No matter how creative or innovative a person is, they'll never have all the answers. So, a smart way of discovering a creative solution by asking questions individually to each person.   Strategies & Techniques for Implementing Solution (Step IV)   1. Trade-Offs This problem-solving strategy came from Russia. This approach works with trading off the problem. After the invention of bulletproof glasses, it was observed that they obscured the driver's view. To solve this problem, the inventor's employed thinner panes of bulletproof glasses. So, when a bullet strikes the glass, the panes broke (while the driver was protected), and the driver's view wasn't even restricted.Use the same approach for problem-solving at your organization. If there's a great solution accompanied by teething issues, brainstorm other ways of making that same solution work with a different approach.   2. Free Association Method Free Association Method has widely used the problem-solving skill in large corporates as it is effective at helping companies prevent problems. With this approach, project managers develop new ideas for implementing a solution through a chain of words. The process involves a phrase related to the issue being written down, followed by another, then another, where each word attempts to add a new idea to the thought process. Eventually, it helps create a chain of steps that end with a new strategy.   Which was your favourite Strategy? We hope you found these creative problem-solving techniques helpful. Productivity is a challenge for individuals most of the time in office hours. However, it is only possible when individuals work in the team to deliver the best results. Still, employees tend to become demotivated and reduce productivity, creating production hazards within the firm.   It doesn’t just affect the company, but the employees themselves suffer. Even a novelist get themselves stuck within the ongoing story because of demotivation. The assignments grow larger that can dissatisfy you. It might also feel like the demotivation factor controls you and your life.   You might be one of the employees that suffer from a similar phase. It can even lead you toward the edge of being dismissed from the job. You need to follow some regulations and habits, for that, that can help you in focusing more at work.   The following list of how to be more productive in the workplace can make you act productively at the work. If you’re employer, you can learn about how to motivate employees in the workplace faster.   1. Don’t sit in a place all the time You might end up being stuffed to a chair for hours in the office, and you might even feel less active at work. It can be because you don’t do something to increase the energy that enables you to focus more. Just step outside the office room and take a small walk in the corridor. You can do small exercises if you desire to make yourself more active at work.   2. Reward yourself if you finish even a single task Even if the company don’t reward you, you should make sure to do that for yourself. Help yourself by devising a reward system such as eating something good after you finish it. You can watch your favourite show after you are done with work to reward yourself.   3. Establish a good working environment One of the reasons for demotivation is a bad working environment where the individuals become too tired and frustrated to work anymore. If the problem is out of your league, such as noise of the construction work, you can ask the bigger authorities to take practical action. You can also run soothing music in the background to calm your senses while you work. Equally important is the organization of the workspace. For example, this article has a good overview of the required home office gear to make you organized.   4. Make room for self-development It is one of the most critical motivational activities for employees. Self-development doesn’t just mean training yourself in certain areas of work to produce better results. It also means to become motivated enough to work productively in your office. For that, you can join some motivation seminar or establish certain habits to energise yourself at work.    5. Don’t be hungry: Hunger is one of the major reasons why employees remain demotivated and underproductive at work. However, overeating can also cause you to stay sleepy during the first half of your work. That is why it is mandatory for you to eat enough to make you focus on the work at present. For those aiming to stay productive and health-conscious, integrating easy-to-cook keto dishes into your diet can significantly aid in maintaining energy and focus throughout your workday.   6. According to a study by the University of Warwick, happiness ensures to increase productivity by 12%. You can make better decisions and learn faster. Therefore, make sure to be happy while you work. You can do meditation and other activities to stay focused and happy.   7. Tomorrow’s to-do list: Not knowing what you’re going to do tomorrow can increase the chances of dissatisfaction with work. That is why you can make a small to-do list for the other day earlier that night using online daily journal so that you can keep track of everything. It helps you in maintaining peace and happiness with yourself   8. Cut off the social media: One of the biggest cause of distraction and unfocused work that yields to less productivity is social media accounts. Majority of the time, the individuals tend to be distracted by social media accounts. Such activities reduce your productivity and make you feel both frustrated and dissatisfied.   9. Stop forcing yourself to work: If you’re feeling dissatisfied and even depressed, you might have to rebuild your focus. Sometimes, you’re just not in that mood to work anymore. At that time, you can take a small break and do everything that can make you feel happy. It can enhance your productivity. Adding to this, taking a break to play a simple game like Solitaire can be particularly effective. This fun, engaging activity helps distract your mind, allowing you to refocus and potentially return to your tasks with increased productivity and a fresh perspective.   10. Remind yourself of grateful things and blissful days: Some days, even with the breaks, you might not feel like attempting to work. You force yourself to do so and end up producing poor results. This way, you make both your clients and company dissatisfied. Reminding yourself of better days can make you feel active again.   11. Clarify your goals:  Don’t just work to go with the flow or satisfy the goals of others around you. That will ultimately make you dissatisfied at work. Have a clear goal that can remind yourself about the happiness you can get after achieving it. It would make you internally stronger.   12. Make friends if your boss isn’t nice: Obviously, not all the leaders like to boss around the office and make you feel depressed about your activities. However, if you are unfortunate enough to get someone like that, you don’t have to be depressed. You can make friends in the office that can create a pleasant environment even amid the darkest times.   13. Don’t hate yourself if you fail: Somehow, if you end up failing time and again in a certain activity at the office, don’t just start disgracing yourself because of that. If you aren’t good at something, you can just switch your job. You can also get extra training to make yourself more active at the office. Also, you can become self-motivated to try again if you fail.   14. Identify why you can’t focus: Sometimes you can’t understand why your productivity level is reducing at work. At such a time, you can take a small break and think to yourself about what’s and why’s of your work. After that, you can ask yourself about what’s stopping you from achieving the goal that has been keeping you stick to the job. It can help you in establishing a good relationship with yourself.   19. Find someone or something to motivate you:  If you are sitting alone in your office and fail to force yourself to accomplish a task, you can act swiftly and find something to motivate you. It can be anything, from a person to music to listen. You can play a puzzle game to refresh your mind. You can even watch your favourite Anime series or movies that can make you feel satisfied. Such activities ensure that you stay calm and motivated even amid despair.   20. Read as much as you can:  You can read motivational books while working in the office. 10 Methods to Tackle the Cultural Barriers to Communication In The Workplace
Technology advancement has brought both challenges and benefits to companies. The fact that remains uncommon is that companies can easily connect with their clients and colleagues today. Still, the cultural barrier to communication remains the primary factor to overcome these days that has corrupted many businesses.   Language barriers are the joint most aspects that have enhanced challenges within the business world. Indeed, the cultural barrier can influence both external and internal customers. This hinders them from being able to have a comfortable bond and open up.   Such aspects produce differences between two individuals in the workplace. Cultural barriers to communication can even cause misunderstandings in the relationship between the company and the consumer. Such situations cause employees to feel less motivated at work. It in return decreases productivity, and the outcome dissatisfies the customers.   Certainly, the organizations would end up facing long-term problems due to cultural barriers. Global business needs a proper solution to lower the cultural barrier and facilitate effective communication and collaboration across diverse cultures.   Below are some of the mentioned factors that can help you to overcome the problems of cultural differences: Table of Contents 1. Cultural difference awareness in the workplace 2. Utilization of communication of application 3. Using simple language 4. Noisy environment 5. Body language in communication 6. Get appropriate feedback  7. Message consistency is important 8. Be an open-minded leader 9. Have an appropriate understanding of your colleagues 10. Deal carefully with employees having a different culture Conclusion 1. Cultural difference awareness in the workplace     At the workplace, people belonging to different cultural backgrounds come together to share a common goal of producing admirable results. Awareness of cultural and communication differences can help solve half of the problems caused by cultural barriers.   The main reason cultural differences occur is when individuals at the workplace forget about the communication issues of others around.   One of the instances is when a team leader fails to acknowledge that one of his groups doesn’t speak English. Such situations create obstacles in the path of growth and even distance the employees. They might become too demotivated to work there anymore.    In another instance, the employer may fail to acknowledge the need for the Holi holiday and displeases the employees at the workplace. If the employer can recognize simple things and be aware of them, they may even find a solution to cultural differences issues at the workplace. 2. Utilization of communication of application   Texting is a great way of communication with anyone around the world, especially applicable to a large distance. Several companies give the option of home-based job that makes it harder for distant employees to communicate with the company. It is even harder for individuals with a cultural barrier to communicate in such a situation.   Therefore, it is mandatory for organizations to establish a textual communication system that can connect the employees. That means, even if you are facing cultural barriers in business, you can still communicate through texts and sort out your issues.   The messages are even better when you face difficulty in finding time to contact the personnel. Video and photo-sharing aspects are considered to be better shared through communication applications.   Furthermore, you even get the facility to make an announcement where all the employees are connected. 3. Using simple language Language is one of the primary aspects of communication that can act as a medium to reduce the communication barrier. However, in some IT companies, sharing technical problems becomes extremely difficult with non-technicians.   At that time, you as an employer could make things easy by sharing the information in simple terms.   You can give detailed instructions in a meeting while simple small orders are effective in phone calls. Overloading your employees with too much info can confuse too. You can ensure to make your data simple to understand. Such strategies create solutions that would not be as time-consuming as you would think. 4. Noisy environment     Another communication barrier that can occur, in addition to cultural barriers, includes a noisy environment. Cultural barriers can already impede effective communication, and when combined with a noisy workplace, it further distracts employees from their work, resulting in poor outcomes. Moreover, the noise can make it difficult to communicate effectively throughout the office.   The aspect of miscommunication would further enhance the distance between you and your subordinates.   At such a time, you can stop yourself from overloading your employees with too much work and make things simple. You can ensure they enjoy and feel efficient while working which can reduce the frustration of noisy background.   You can try to reduce the noise level by contacting the source behind it. In the worst-case scenario, you can even strive to change the working environment of the employees. 5. Body language in communication One can sometimes notice that the difference in body language creates misunderstandings among individuals at work. This happens when you fail to use proper body language while communicating. Just imagine this: you work with a guy that has never acknowledged your efforts. In return, he just strives to make you feel down.   A similar thing can happen to you and the employees as well. If you are too hard on them, they might turn their backs and misunderstand the situation. Some wouldn’t even try to share true emotions about the working environment.   Therefore, make sure to use proper body language to communicate with your employees which can enhance your connection with them. 6. Get appropriate feedback      You might end up becoming frustrated about how and why the particular person behaves the way they do. It just might be your fault in reality, which you are unable to see.   Miscommunication can be the cause of such a situation. However, if you can get regular feedback about your working habits and office environment, you can strive to change it for good.   To address the cultural barrier to communication, one effective approach is to implement a weekly feedback system at your office. By establishing a survey system for all employees, you can gather valuable information about their experiences and perspectives. This feedback can then be utilized to enhance the strategy of your organization, taking into account the specific challenges posed by cultural barriers to communication. 7. Message consistency is important   You don’t have to keep your colleagues and subordinates confused by changing the message now and then. Make sure to inform everyone if you ever decide to change the policies to avoid confusion and frustration. Replacing the older messages can be critical, and if you fail to act accordingly, you can create havoc among your employees.   At this time, organize meetings and get-togethers of your team leaders. Make broadcast messages in the messaging application for everyone to see. Such strategies can instantly disregard the confusion due to recent changes. 8. Be an open-minded leader     It is critical for you to ensure that everyone feels safer around you and shares honest issues.   The key is to communicate effectively with the subordinate without harming their individual feelings. However, such a task may seem frustrating at first.   You should ensure that your employees are willing to take your help and dedicate their lives to producing products.   Consistent communication and better relationship can build their loyalty with you. For that, you just need to hear more and answer all the queries with a calming attitude. 9. Have an appropriate understanding of your colleagues Imagine yourself sitting in the leader’s seat surrounded by your employees. What is the first thing that you would end up seeing?   The way clients look at you. You cannot say what the individuals might be thinking behind their eyes. You might even end up misunderstanding them.   At such a time, it is mandatory for you to understand what your employees are going through.   For that, you need to enhance clarity while communicating with a subordinate. Hold up several events to connect better with them.   You can make sure to implement communication and leadership skills no matter the situation. 10. Deal carefully with employees having a different culture     When it comes to businesses, envisioning a scenario where individuals with diverse backgrounds are gathered in a big hall to achieve common goals is not uncommon. However, if cultural barriers to communication arise, it can pose challenges for leaders to navigate the situation carefully. The presence of cultural differences can complicate effective communication and necessitate special attention from leaders to address the cultural barrier to communication and foster a harmonious and productive work environment.   For instance, a few people in your group can have a different idea of a word spoken by you because of cultural differences.   In every country, the meaning of a certain sign is different. A particular sign can act as a positive source for one person while it would be negative for another.   Considering that in mind, you might have to make sure that your employees stay calm under all circumstances. You need to be aware of their individual backgrounds for that.   You can end up making a sarcastic comment when in reality, all you did was complimented an employee.   Such aspects create differences between the employees and the employer. At such a time, you must walk ahead and try to help the outside er in your group. They would appreciate your efforts and produce better results. Conclusion People end up making things worse in the organization due to rising cultural differences. This is bound to happen since individuals with diverse backgrounds come together to work under one roof.   You just have to make sure that all the employees end up solving problems together.   For that, you can follow certain steps to reduce the burden of cultural barriers in the workplace. If that is done, you can achieve faster progress and loyal employees.
